How We Handle Patient Information

Chinese Medical Navigator provides hospital escort, medical navigation, communication support, document organization, appointment coordination, and optional Chinese-English interpretation in Beijing.

Because hospital visits may involve sensitive personal and medical information, we treat patient privacy seriously. This page explains what information may be collected, why it may be needed, how it may be used, and how we protect it.

1. Scope of This Privacy Policy

This privacy policy applies to information shared with Chinese Medical Navigator when a patient, family member, representative, or client contacts us for hospital escort, medical navigation, interpretation, document organization, appointment coordination, or related non-medical support in Beijing.

We are not a hospital, clinic, medical institution, doctor, treatment provider, insurance company, or emergency medical service. We do not provide diagnosis, prescriptions, treatment plans, medical advice, or medical decisions.

2. Information We May Collect

We only ask for information that is reasonably necessary to understand the service request, prepare hospital navigation support, arrange staff, and communicate with the patient or family.

  • Name of the patient or contact person
  • Email address
  • Phone number or messaging contact
  • Country or city of residence
  • Preferred language

Hospital Visit Information

  • Expected hospital visit date
  • Hospital or clinic name if already known
  • Medical department or general medical direction
  • Whether the patient needs hospital escort, English support, or professional interpretation
  • Whether the patient needs mobility assistance or extra on-site support

Medical-Related Information

Depending on the service request, the patient or family may choose to share limited medical-related information, such as symptoms, previous test reports, medication names, allergy history, hospital instructions, or appointment documents.

We do not require detailed medical records at the first contact stage. Please do not send full medical records, passport images, payment documents, or highly sensitive information before a service agreement and consent process are confirmed.

3. Why We Use Patient Information

Patient information may be used for the following limited purposes:

  • To understand the patient's hospital visit needs
  • To clarify whether the request is suitable for our non-medical support service
  • To prepare a hospital navigation or patient escort plan
  • To arrange an appropriate local escort, English-speaking assistant, or interpreter
  • To coordinate appointment-related or hospital procedure information when possible
  • To prepare communication support before the hospital visit
  • To organize documents, visit summaries, or follow-up instructions when requested
  • To communicate with the patient, family member, or authorized representative
  • To manage payment, scheduling, cancellation, and service records
We do not use patient information to make medical decisions. We do not diagnose, prescribe, recommend treatment, or decide whether a patient should accept a medical procedure.

4. Who May Access Patient Information

Patient information may be accessed only by people who need it for service coordination. Depending on the case, this may include:

  • Chinese Medical Navigator coordination staff
  • Local Beijing patient escorts assigned to the visit
  • English-speaking assistants assigned to the visit
  • Professional interpreters assigned to the visit
  • Hospital staff when communication or appointment coordination is necessary and authorized

We require assigned support staff to understand confidentiality, patient privacy, and service boundaries. They must not use patient information for unrelated purposes.

5. Sharing Patient Information

We do not sell patient information. We do not publicly disclose patient information without consent. We do not use patient identity, medical documents, photos, videos, or hospital records for advertising, social media, public case examples, or training materials without explicit permission.

Patient information may be shared only when necessary for the requested service, for example with an assigned interpreter or local escort, or with hospital staff when the patient or authorized representative agrees.

Overseas Family Members

If an overseas family member contacts us on behalf of a patient, we may ask for confirmation that the patient agrees to the communication. We may also limit what information can be shared until authorization is clear.

6. Sensitive Documents

Sensitive documents may include medical records, hospital reports, identity documents, passport images, insurance documents, payment records, and personal contact information.

Please send only the documents that are necessary for the service. If possible, you may hide or remove information that is not needed for hospital navigation or service coordination.

We may refuse to receive or store unnecessary sensitive documents if they are not required for the requested service.

Do not send emergency medical information to us expecting urgent medical action. For emergencies, contact emergency medical services or go directly to an emergency department.

7. Storage and Retention

We keep patient information only as long as reasonably necessary for service coordination, visit preparation, communication, payment records, service follow-up, dispute handling, or legal and administrative requirements.

Patients or authorized contacts may request correction or deletion of unnecessary personal information. Some limited records may need to be retained for payment, accounting, service documentation, or dispute resolution purposes.

8. Communication Channels

Communication may take place through email, phone, messaging applications, online forms, or other channels chosen by the patient or client. No online communication method is completely risk free.

Please avoid sending unnecessary sensitive documents through unsecured channels. If highly sensitive information is involved, please ask us first how much information is actually needed.

9. Third-Party Services

During service coordination, patients may use third-party services such as hospitals, clinics, hotels, transportation providers, messaging applications, payment providers, email services, or online booking systems.

These third parties have their own privacy rules and service terms. Chinese Medical Navigator is not responsible for the privacy practices, data handling, pricing, refund rules, or service quality of third-party providers.

10. Patient Rights and Requests

Patients or authorized contacts may contact us to request:

  • Correction of inaccurate contact or service information
  • Deletion of unnecessary personal information where possible
  • Clarification of how their information is used for service coordination
  • Withdrawal of consent for future non-essential communication
  • Limitation of document sharing with assigned support staff when possible

We may need to verify the identity or authority of the person making the request before taking action.

11. Confidentiality Rules for Support Staff

Local escorts, English-speaking assistants, and interpreters assigned to a service are expected to follow confidentiality rules, including:

  • No public disclosure of patient information
  • No posting patient cases on social media without permission
  • No sharing medical records with unrelated persons
  • No private use of patient contact information
  • No independent diagnosis, treatment advice, or medical judgment
  • No private agreement with patients outside the confirmed service arrangement
